CU Research Affiliates & Persons of Interest (POIs)

Tyler L. McIntosh edited this page Jun 14, 2024 · 5 revisions

Overview

There are two options for individuals to gain CU system access (i.e. as is necessary for research affiliates):

  1. Person of Interest (POI) status: short-term (~1 year), temporary need for system access
  2. Research Affiliate appointment: indefinite, more in-depth application process

Additional information on Research Affiliates:

Within the last couple of years, the university created a new classification for unpaid positions called Research Affiliates. The campus has been looking to change the appointment process for these types of positions as a way to address export control issues, intellectual property transfer, risk management, time limits, lab security and other campus safeguards. The Research Affiliate position is defined as an unpaid position for individuals from other academic, research, governmental or non-profit institutions who have a clear and documented association with the research activities occurring in the sponsoring unit. They are eligible to participate, contribute or collaborate on a sponsored research program, cooperative agreement, or research project and may apply on behalf of the University for Sponsored Projects or grants. (POIs are unable to participate as a CO-PI).

Things to consider

Length of access

Will this person need access to their @colorado.edu email address and CU systems indefinitely? Or just during the transition period as they start their new position and close out some research projects/publications for X amount of time? The email and system access for either option are pretty similar.

Turnaround time

POIs are relatively quick, as they do not require a background check

A week is a good estimate for a Research Affiliate, depending on how long the background check takes.

Process

Person of Interest (POI)

A POI status doesn’t require any documents or a background check. Only works if the affiliation will be temporary.

Email CIRES HR ([email protected]) and ask for help establishing POI status for someone.

Provide the following information, or download the "Add Person of Interest Worksheet" for the POI to fill out. (If you go with the worksheet, note that POI does NOT need to enter social security number).

  • Name
  • Email address
  • Reason for affiliation

Research Affiliate

Must have a faculty sponsor. Required documents include a Terms of Affiliation agreement and a CU position checklist. The person also needs a new CU background check before CU will approve the appointment.

Email CIRES HR ([email protected]) and ask for help starting a Research Affiliate appointment. They will route a couple documents for signatures to complete the appointment (signed by the affiliate, their CIRES sponsor, CIRES HR Director, and CU Research Faculty HR).
